If your business needs file hosting in Singapore, ask where each part of the service operates before choosing a platform. The location of the main file server is only one item to verify. Backups, support access, connected applications and device copies also need to be considered.

This checklist helps an IT or procurement team assess a Google Drive alternative for a defined location requirement. It is not a claim that overseas hosting is automatically unlawful, or that moving to a local server automatically makes an organisation compliant.

Separate a location preference from a binding requirement

Document why Singapore hosting is being requested. The reason might be an internal policy, customer contract, operational preference or a requirement identified by your adviser. Identify the data involved and the evidence the business needs to retain.

The PDPC’s guidance on the Transfer Limitation Obligation describes requirements for overseas transfers. Do not reduce that assessment to a server address. Ask your data-protection lead or qualified adviser to assess the current obligations for your situation.

Check the scope of Google Workspace data regions

Google’s data-region guidance lists geographic choices for covered data and supported editions. Review the current feature scope and your own subscription. A region setting is not a blanket statement about every service, processing activity or data type.

If your documented requirement specifically calls for Singapore storage, ask whether the proposed service can meet it and what evidence is available. Do not infer an answer from a vendor’s office location or billing currency.

What to ask a Singapore file-hosting provider

  • Primary storage: identify the proposed hosting location and the contracted service.
  • Backup and recovery: identify backup locations, retention, restoration testing and access arrangements.
  • Operations: confirm who may administer the system and how access is authorised and recorded.
  • Connected services: review document editors, email notifications, analytics and other integrations separately.
  • Security: specify authentication, encryption requirements, update responsibilities and incident contacts.
  • Exit: agree export formats, assistance, retention and deletion arrangements when the contract ends.

Evaluate managed Nextcloud as a proposed configuration

A managed Nextcloud environment can be assessed against your file-sharing and location requirements. Ask for the actual configuration and service boundary, including additional applications and backup arrangements. The product name alone is not evidence of the deployment’s location or security controls.

Encryption also needs precision. Transport encryption, storage encryption and end-to-end encryption address different risks. Nextcloud’s end-to-end encryption guidance describes a separately enabled capability with client and workflow requirements. Do not assume every shared document uses it.

Build an evidence checklist before procurement approval

Record each requirement, the provider’s response, supporting documentation and any unresolved gap. Give the business owner a clear decision: accept the configuration, request changes or retain the current system. An unanswered location question should not quietly become an assumed inclusion.

For example, if a customer contract requires a particular backup location, seek written confirmation for backups rather than reusing the answer about the primary server. If an external editing service is introduced later, review that change before enabling it for sensitive files.
