Moving an SAP workload is a business-system change, not just a server transfer. Procurement should establish the supported application environment, ownership of operational tasks and evidence needed by the organisation before comparing hosting prices.

Confirm the application and infrastructure requirements

Record the exact SAP product, version, database, operating system and integrations. Ask your SAP application partner to confirm compatibility, licensing and support requirements for the proposed deployment. Do not assume that every SAP product can run on any VPS or that general infrastructure support includes SAP functional consulting.

Map business data and access

Identify the data in production, reporting, test systems, backups and exports. List the parties with administrative access and any services used for monitoring or remote support. Include connections to finance, warehouse and other business systems rather than reviewing the ERP server in isolation.

Put support responsibilities in writing

  • Who administers the operating system and database?
  • Who approves SAP application patches and compatibility testing?
  • Who investigates a slow transaction or failed integration?
  • Which party manages user permissions and privileged access?
  • Who leads recovery and contacts the business during an incident?
  • What support hours, escalation targets and exclusions apply?

Use a responsibility register shared by the customer, application partner and hosting provider. Where a task is not included, record the owner instead of relying on an informal assumption.

Test recovery and business acceptance

Agree recovery targets with process owners. Test restoration of the database and required application components, then validate a representative workflow such as order processing or reporting. Document timing and dependencies without turning one test into a universal recovery guarantee.

For migration, agree the final synchronisation, user access window and rollback decision point. Keep evidence of acceptance and unresolved issues. Do not retire the old environment until authorised stakeholders approve the transition and relevant retention requirements are addressed.
